This “rules” list may seem like a lot, but we want to make sure you are fully informed and have no unrealistic expectations concerning your RV Rental. Most rental agencies have the same rules, we just want to be completely up front before you reserve and prevent any misunderstandings later.
Contactless Rentals: Please note that all of our rental reservations are done on our website in a contactless manner. Once we have accepted your booking request and have emailed you a booking confirmation, we will send a separate email that will include further rental information and lists all of the information we require you to send up prior to your pickup date. We’ll email your final pickup instructions a few days prior to your pickup time and if you have any questions, our team are quick to respond. Please email us if you want more information about this process before you book.
Reservations: To book our RV Rentals, a non-refundable booking deposit is required at the time of booking and a $25 reservation fee. Once we receive your booking request, it may take up to 12 hours for us to confirm your booking via email. A prep fee is automatically included in every reservation when quoted or confirmed. If the pickup timeslot you have requested is not available, we will schedule the closest available pickup time for your rental.
Payments: Payments are accepted in USD and can be made on a Visa, MasterCard, Discover, or American Express only. Our primary payment processor we use is Stripe as it is the only one that we can do a credit card authorization online for the rental deposit. The security deposit must go on a credit card that matches the name on the primary driver’s driving license. We can also process payments through Square Payments at our location.
Security Deposits: A security deposit is held on the primary driver’s credit card at the same time that we charge the rental balance. (Information on this is emailed when your booking is confirmed.) This transaction is set up as an authorization hold (not a charge). We release your security deposit after we inspect your returned vehicle. Returning rentals must be deemed undamaged, with a clean interior & exterior, all equipment must be returned and in the same condition, septic tanks empty and propane full as it was sent out, with no dog hair or smoke smells, and with a full tank of gas. It can take approximately a week for the security deposit to be made available by your bank. Security Deposits are applicable as follows: $1000 for all campervans and cars, $1500 for all Class C RV rentals, $2500 4x4 Ford transit van
Minimum Rental Period: Low Season: 3 days, Peak Season: 5-7 days. You can rent for less days then posted however the rates will reflect our seasonal minimums.
Maximum Rental Period: Our maximum rental period is 30 days.
Pick-up and Drop-off Hours: Pickups can be scheduled every 30 minutes between 10am and 3.00pm, Mon-Fri. Hours may be shorter on days before and after a major holiday and out of hour fees may apply to pickups and drop-offs scheduled for those days. Your pick up and drop off times are chosen by you at the time of booking and are shown on your rental agreement. We reserve the right to adjust pick up times according to availability. A rental day is defined as a 24hour period. If you pick up your van at 3pm on your first rental day, then it is due back at 3pm on your last rental day. Vehicles returned late will be assessed a fee. Returns less than 1 hour late will be charged an additional 1/2 night. Returns more than 1 hour late will be charged an additional night. Returns more than 3 hours late will be subject to additional late fees at a rate of $100/hour.
All drivers must be present at pick up in case we need to cite your driver’s licenses. Either driver who doesn’t show up for pick up will be removed from the rental agreement as a legal driver and a $30 change fee will be applied. Returns are allowed 24/7, but you must drop off at your scheduled return time or you may be charged an additional day’s rental. There are out of hour fees to drop off outside our regular business hours, but our daily rates are charged on a 24-hour cycle, beginning at your scheduled pickup time which is listed in your reservation and rental documents. *No refunds are given for late pickups or early return of vehicles and we cannot automatically extend your drop off time if you pick up late. This includes if we have to delay your pick up because we weren’t able to charge your card for the rental balance or hold the security deposit along with insurance verification. We have planned on you picking up and dropping off as scheduled.
After-hours Pickups & drop offs: We are offering after-hours pickups Mon-Sun. We do not offer pickups on holidays. The charge for after-hours pickups is $100. If you are scheduled to pick up during regular hours, but you arrive after 3pm, our reservation system will add the after-hours charge automatically to your booking
Driver’s License: We allow up to 4 total drivers to be added to our Outdoors RV rental agreement and there is a $25 booking fee for the main driver and a $25 extra driver fee for each additional driver. Drivers must provide a full & unexpired driver’s license that is valid for the duration of the rental period. All USA & Canadian drivers must provide contact information and have car insurance and the insurance information be provided so we can verify your identity, background and driving record history.
Foreign Drivers: We will need to see your passport. (We cannot accept a passport card.) If the driver’s license is not in the English language an International Driving Permit (IDP) or a certified English translation is required along with your driver’s license. All International drivers will need to avail of RV Rental Insurance provided by Wheelbase Insurance since your personal car insurance most likely won’t cover our rentals in the USA. As we will transfer your reservations to that platform where they will have insurance available and you will need to provide your identity so you can be approved as a verified driver.
Drivers Minimum Age: Drivers must be at least 25 years of age and have had a full motor vehicle driver’s license for at least one year.
Vehicle Orientation: Outdoors RV Rentals believes in properly equipping our renters before their departure so you can get the most out of your rental unit. An Outdoors RV Rentals Orientation Specialist will conduct an in-person equipment review and orientation to get you familiar with your rental unit. This orientation usually takes about 15 minutes for our Camper Cars and Vans and one hour for our Class C Motorhomes. If you’d like the Driving Orientation, please plan on closer to 2 hours. If we have a video for that particular rental as please watch before they day of pickup.
RV Condition at the time of Pickup: The unit you are picking up is clean on the interior and exterior and is in full working order. When you check out your rental unit, you will may go through a "walk through" showing the interior and exterior condition and cleanliness of the vehicle. This is the condition in which your rental unit must be returned. If cleaning is needed, the following applicable charges of $75 per hour will be added to your account.
Mileage Allowance: The rental units daily rate includes 0 miles. However, you will prepay 100 miles for each 24 rental hour cycle. Travel over 100 miles per day is subject to a charge of $.039 cents to $0.99 per mile as indicated on your invoice and is subject to sales tax, rental tax, excise tax. Generally extra mileage is calculated and paid for after the rental is returned. However, if this is a long-distance trip we may require additional mileage paid upfront before your rental.
Insurance: Your personal car insurance is the primary insurance for the rental and all renters are required to have a personal car insurance policy to rent with Outdoors RV Rentals LLC. Since most all supplement insurances will treat your personal car insurance as primary insurance so make sure you read and understand the terms of the contract. As Outdoors RV Rentals isn’t an insurance agency. However, we can help arrange additional protection where you can purchase supplemental insurance directly through MBA Insurance, Wheelbase.com or Outdoorsy.com which specializes in commercial RV Rental insurance. The cost of this coverage varies depending on which unit you rent and what policy you choose. An insurance deductible will vary depending on your package selection.
Renter Cancellation Policy:
A full refund will be granted, minus the processing fee and applicable taxes if:
NO REFUNDS are issued if the trip is canceled within 30 days of the scheduled rental unless booked and canceled within 2 hours.

Cancellations initiated by Outdoors RV Rentals will result in a full refund to the renter.
If you feel there is a possibility of cancellation, we suggest purchasing Travel Insurance from a third-party provider. Travel insurance can provide you coverage for medical expenses, trip cancellation/interruption, baggage damage, medical evaluation, and much more. It can provide coverage for airfare, campground reservations, or any advance payments you make with tours or activities. The cost is very reasonable and gives you peace of mind when traveling.
Security Deposit: A security deposit is required for each rental unit. This security deposit covers the cost, in the event there are missing or damaged items inside or damages to the outside of the RV during your rental period. If necessary, additional costs associated with loss of use, missing or damaged items inside or outside the RV, may be charged to your credit card on file along with any applicable insurance deductible if any costs are covered or paid pursuant to an insurance claim submitted by Outdoors RV Rentals. Outdoors RV Rentals may use your security deposit to pay any amounts owed to Outdoors RV Rentals under this Agreement.
Awning: Electric awnings on our Class C motorhomes are available to use. We advise not to use as this is for your own protection as we don’t want to charge you to repair or for delaying the next renters’ reservations as even experienced users make mistakes. Awning replacements start at $3500 to replace and can be damaged very easily due to weather or accidental misuse. Damage to awnings, including damage while driving (tree, toll road, etc.) are 100% your responsibility and could exceed your security/damage deposit amount. If you want to use the awning let us know and we will ad an additional damage deposit of $1000.
Toilets: RV Toilets are designed for disposal of single ply RV toilet tissue only. Under no circumstances should anything else be disposed of in the toilet. No feminine hygiene products, diapers or wipes. Failure to observe this rule may clog the toilet which you will be charged $300-$500 to repair.
Generator: All of our class c motorhomes (drivable units) are equipped with generators. RV generators are for running the central a/c and temporary power while traveling. These are not “constant run” generators and are not designed or allowed to be used as primary power while you are camping by running them constantly for extended periods of time. If you desire air conditioning you need to use a campsite with RV electrical available to plug into. Customers are forbidden from running the generator overnight while sleeping in the unit due to the possibility of carbon monoxide getting into the unit while you are asleep – a deadly hazard. Furthermore, you understand that in higher elevations and in extreme heat, the generator may not stay running as to operating the central roof a/c unit. Under these conditions we advise you to stay at an RV park in the shade and plug-in into their 30-amp 120v outlet. You also understand that such failure may interrupt your vacation. You understand that failure to observe this condition may result in generator failure and that you will be responsible for any repairs.
Refueling: Experienced RV drivers prefer to fuel up at truck stops since they are safer and provide more vehicle clearance than regular gas stations. As for example when you pull away after fueling and begin turning the tail end of the rental unit can swing out and could potentially hit the yellow safety poles or worse the gas pumps or people. We also require you to use a spotter when fueling and everywhere else you will be parking in tight quarters such as parking lots. Before fueling you must turn off the engine and all ignition sources including gas appliances, refrigerator, hot water heater, stove, furnace, etc and turn the valve off at the propane tank or pressing the off button on the Dynamax REV 24RB Motorhome each time you refuel. You are also responsible for checking and maintaining engine oil, fluids, tire pressure- in the driver side door jamb the required tire pressure for the front and rear tires will be posted, suspension airbag pressure (if applicable) generally 50-100 PSI Max, and coolant levels at each refueling, as well as reporting mechanical failures immediately. You may be held responsible for mechanical damage if you fail to do so.
Fuel (Gasoline units): Flat land: Regular 87 octane unleaded gasoline is fine. Climbing mountains or going up steep or long grades we suggest unleaded plus or premium. DO NOT use E85 or any other type of non-regular gasoline, E85 and other alternative fuels will not run in these engines and will cause engine damage. Take it from experience, using E85 will cause a breakdown and you will be responsible for the tow and repair costs which may greatly exceed your security deposit. Keep your gas receipts as rentals returning with check engine lights and fuel related issues, we will ask for to verify that proper gas was used. Also don’t overfill the gas tanks as they can also cause check engine lights and issues along with not installing the gas cap properly. We suggest that if the gas pump stops then check the dash Gas gauge to see it is full before refilling if you believe the tank is not full yet.
Windshield and Tire Damage: Windshield and tire damage or replacement is the responsibility of the renter. All prior damage must be noted with photos at the time of pick-up. We will inspect all tires before each rental, but tires need to be inspected on your rental unit prior to your departure on the day of travel. You understand and agree to check the tires at least daily since uneven tire pressure causes uneven weight distribution, which increases the probability of tire blow outs. For the same reason, you also agree to check the suspension airbags if present on your vehicle, which need to be maintained at 50-100psi Max. This is the responsibility of the Renters. If you have any windshield or tire damage, please contact us so we can have these issues fixed before you return as any delay to the next renter which results in compensation or cancellation you will be responsible for loss of use. We also require that the same brand, type and size of tire be used if you need to replace as this is a common practice in the industry and our insurance requires this also for safety reasons. Some rentals may require the wheel lug nuts to be removed to check the tire pressure due to the wheel simulators and is this case please take to a tire center so they can torque the wheels and then follow the tire centers instructions which is generally 50-100 miles when to have the wheels lug nuts torque checked.
Pets: We allow pets, but an extra cleaning fee applies. Many renters are allergic to pets so we must charge extra because it takes a lot of work to clean the RV after a pet has been in it to remove all the pet hair, dander, and sanitize every surface with a pet enzyme solution. Our current pet fee is only $75 for the entire rental unit period and must include our White Glove Service option. PLEASE be responsible with your pets as they can cause significant damage to our units when left unattended – for instance claws are known to puncture the upholstery, especially smaller dogs who can claw up the driver seat when watching for you to return. If it is discovered that a pet was in your rental unit without our knowledge (i.e., pet hair), there will be a non-refundable $300 pet fee charged to the card on file. Excessive pet hair removal, odors and stains will be charged an additional $99 per hour.
Smoking/Odors: We have a strict NON-SMOKING policy of anything for all of our rental units. If any evidence of smoking is found or any odors noted below, we will charge a non-negotiable starting fee of $300; this goes to clean, sanitize and deodorize the coach professionally. We do not allow anything that can create a strong smell in the RV that is difficult to remove including camp fire smoke, raw fish storage or cooking with heavy spices such as curry or strong gumbo and deep frying. When near a campfire keep the window and doors closed as we and the next renter will appreciate it. We also require you to have the Air Conditioner shut off and windows open and roof fan on with air exiting out when cooking. Following this process this will help remove and keep the odors out of the RV.
Travel Restrictions: No travel allowed on any non-paved roadways like logging roads, forest service roads, beaches, etc. unless travelling within a licensed campground. Please consider the areas you camp as dust can get inside everywhere and if not returned clean as your rental was received then additional cleaning fees will apply. Travel into Death Valley is not allowed May-September. Travel to Canada, Mexico, Black Rock Desert, NV, or the Burning Man festival is not allowed at any time. Playa dust is corrosive to sensitive electrical systems and very difficult to remove. Any person(s) not disclosing Burning Man travel destination will be held liable for additional fee up to 3 times the daily rate of the RV plus a fee of $100/foot of the RV for added maintenance, cleaning fees, and subject to additional Burning Man fee of $3000. As if this also delays the next renters vacation you will also be responsible for the full trip amount. If the rental is returned in such a condition that the rental is no longer suitable for us to rent out again then you agree to purchase the vehicle at the fair market value and also be responsible for the next renters full trip cost due to lost revenue. If we waive any or all of these restrictions you will require a written and signed permission document from Outdoors RV Rentals Manager/Owner.
Towing: We do not allow towing of anything with our units due to insurance liability reasons. Some units are equipped with a 1¼ to 2-inch hitch and we do allow accessories like bike racks, hitch mounted BBQ pits, etc. however you must bring the hitch accessory with you during pickup and it will be locked on.
Breakdowns: Outdoors RV Rentals is not responsible for any inconvenience, delay or extra traveling costs due to breakdown or malfunctioning equipment. If a major breakdown occurs, please call for Roadside Assistance and Outdoors’s office (Tel: 253-375-8400). All repairs must be first authorized by Outdoors RV Rentals. Your expenses for authorized repairs will be paid directly by Outdoors or you will be reimbursed upon presentation of receipts. Any vehicle service expense over USD $200 per trip requires a call to our office. If the cost is under USD $200 you may have the service completed, but you must keep the receipt for reimbursement. Generator, Propane tank, Roof & Vehicles A/C, Heat, water heater, radio, TV, DVD/BLU-RAY, stereo equipment, awning, and GPS, refrigerator/freezer, stove, oven, leveling jack, awning or slider malfunctions are not considered breakdowns.
Repair & Service Availability: If you are trying to resolve an issue or get a questioned answered and it is after hours and you purchased 24/7 Roadside Assistance Plan or provided your own, please call the Roadside Assistance phone number. Please understand that roadside assistance and RV service is not always quickly available, especially when you travel to far remote areas. Sometimes in remote areas or on weekends & after hours it may take a long time to get a wrecker or service. Holidays are especially difficult to find help on the road. We suggest you take this into consideration and if you are going to be traveling through a remote area with limited resources, try and plan that part during the day on a week day when services may be available just in case something happens. When you are in big tourist areas during the summer or peak activity periods, it is sometimes difficult to find RV service centers willing to look at a unit on short notice as many times they are booked up and an appointment for the future is necessary. Sometimes you may need to find a service center along your planned travel route and book a future appointment for when you will be passing by. We are still here to help and provide great service but we do sleep and are mostly available during business hours. If you need roadside assistance, please call/text the number given to you at departure and we would be happy to help out to get you back on the road asap. If you did not purchase the 24/7 Roadside Assistance plan, you are 100% responsible for roadside tire/windshield issues and the cost associate with the mobile service company to replace/change the tire or replace the windshield. If you return with a broken or cracked windshield or damaged tires, we will charge $75 per hour for our time to have these items repaired when you get back if we need to take the rental to a repair shop. You will also pay for any delays the next renter’s vacation or be responsible for full trip cost that we have to refund.
Early Return: If you return before your scheduled return date, please note that Outdoors RV Rentals does not issue refunds for unused rental unit days; you will be charged the same as if you used all the days agreed upon. This includes if you have an accident or crash the unit, however if the crash is not your fault you may be able to recover your rental unit costs from the at-fault driver’s liability insurance.
Interior Cleaning: Unless you select to add cleaning with your reservation, the coach must be returned with a clean interior. “Clean” means as you received it & ready for the next renter. If you paid for the White Glove Service option, the interior of the rental unit does not have to be returned clean. If you did not pay for cleaning in advance, you will be charged $75 per hour (at the discretion of “Outdoors RV Rentals”), if the unit is returned dirty. Since Covid-19 our rentals are being professionally disinfected by a Germpro Certified Specialists which the CDC requires us to strictly clean all surfaces of the interior of the rental before this service can be performed. In lieu of requiring the interior cleaning service being required for every rental we are providing you the opportunity to return the rental “Clean” as you received it. Includes the outside storage compartments being clean and organized as you received it.
Exterior Cleaning: Unless you select to add cleaning with your reservation, the coach must be returned with a clean exterior. “Clean” means as you received it & ready for the next renter. If you paid for the White Glove Service option, the exterior of the rental unit does not have to be returned clean. If you did not pay for cleaning at the time of renting the unit the cleaning fee you will be charged $75 per hour, (at the discretion of “Outdoors RV Rentals”), if the unit is returned dirty. We can only perform our return inspection with photos with a clean exterior.
Fuel Refill: Fuel tanks will be full upon departure. All our rentals have a fuel tank monitoring feature that provides us a precise volume of fuel in the tank. If the gas tank is not returned full then you will be charged in 1/8 Tank increments depending on the tank size of your rental along with a $35 refill fee. If rental returns with gas gauge less than they left we will be required to refill the tank back to full as you received it.
Propane: If you didn’t prepay for the White Glove Service option, it is your responsibility to refill the propane tank prior to return. If the RV is returned with propane tanks that are less than full, we will fill the tanks for a flat fee of $75. Propane is required to keep the refrigerator operating, use of the gas stove, hot water tank and thermostat heater.
Waste-Water & Sewage Tanks: All waste-water and sewage tanks will be empty upon departure. Renter is responsible to dump the tanks and return it with waste tanks empty & flushed clean, both black and gray tanks, satisfactory to Outdoors RV Rentals. If tanks are not emptied completely, to Outdoors RV Rentals satisfaction, a $150.00 Dump Fee will apply, unless the renter added the Prepaid White Glove Service option, which excuses the renter from having to dump and flush the holding tanks.
Abandoning Your Rental Unit: Please keep in mind that RVs are not hotels. There are many moving parts and they can sometimes be temperamental. We do our very best to maintain them but sometimes things happen that are out of our control (similar to a rental car). That being said, you are renting a very expensive piece of equipment and we expect you to treat it as if it were your own. If, for some reason, it breaks down, you are responsible to stay in the vicinity of the RV until it is repaired unless otherwise directed by Outdoors RV Rentals. Should you decide to abandon the RV, please understand that you will be billed for any and all retrieval fees such as towing, airline tickets, motel tickets, cab fee, RV parks etc. and $75 per hour per person to get the RV back to our location.
Speed / Safe Driving: The maximum allowable safe speed allowed in our Class C Motorhomes is 55mph and Campervans is 65mph. The optional equipment on the roof is generally rated up to 70 mph. This is primarily for insurance reasons and the safety of you and your family. RVs are fun and easy to drive; however, any large & heavy vehicle reacts differently in emergency situations or tire blowouts. This rule also protects our engines and transmissions, which with the weight of an RV and your gear are already at the upper design limits. Higher speeds increase our service interval and cause unnecessary wear and tear on the engine and mechanical components that could lead to premature failure. Our vehicle is equipped with a Telematics GPS that informs us of excessive speeding, hard stopping and rapid accelerations. We strictly enforce a daily penalty of $50 each day on your invoice that you recklessly speed over 80 mph. This also includes excessive hard braking’s and rapid accelerations.
Damage Inspection: Outdoors RV Rentals requires up to 5 days for post check-in processing. Upon your return, an initial inspection will be performed however if the rental unit is returned dirty it is impossible to accurately perform until the rental unit is washed. So, a more detailed inspection will be performed after washing as to determine if any damage occurred during the rental unit period, as well as to see if any pet hair appears (unless a pet was approved). If damage or pet hair is discovered, Outdoors RV Rentals will notify you of the cost to fix the damage and or remove the pet hair. If your rental unit has any damage that was not there prior to your departure, it is considered your damage, therefore your security deposit will be affected based on the severity of the damage. NOTE: Interior damage, awnings, tires and windshields, chassis, roof and components on the roof and components below the RV such as the suspension, gas tanks, water storage, axles etc. are not covered by the insurance. If they get damaged and the cost exceeds the security deposit, the balance will be charged to the card on file.
VALUE UNITS: RVs that are labeled “Value Units” are older, higher mileage units that are discounted due to the age and their well-used condition. These units are reliable and pass our bumper-to-bumper inspections so everything works on them and they continue to be mechanically sound, however they look a little tired and the wear of rental use is showing. If you want a great value on an RV for your trip and don’t mind the extra wear and tear, this is an excellent choice to save money. If, however, you are very picky about the appearance of your RV or want one that looks newer, you should stick with the regular rental lineup and not the value units.
